This Privacy Policy describes how HostReady (“HostReady”, “we”, “our”, or “us”) collects, uses, shares, and protects personal information when you access or use the HostReady platform, website, and related services (the “Service”).
By accessing or using the Service, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with it, do not use the Service.
We collect only the information needed to run the Service and help you manage compliance. We do not sell your personal information. Connections to your property management system are read-only, you can disconnect them at any time, and you remain in control of your data. The sections below explain what we collect and how it is used.
When you create an account, we collect information such as your name, email address, phone number, company or business name, and login credentials. If you sign in with a third-party provider (such as Google), we receive basic profile information from that provider.
To generate compliance insights, you may provide property addresses, license and permit numbers, expiration dates, tax account information, and supporting documentation or evidence files that you upload. We also generate and store derived data about your properties, such as parcel and zoning details, compliance scores, checklists, and certificates.
If you connect a third-party property management system (such as OwnerRez, Hostfully, or Track), you authorize HostReady to access that account on your behalf to import your properties. These connections are read-only: we read property data and owner records and do not create, update, or delete anything in your connected account.
From a connected PMS, we retain only the fields needed for compliance, which may include:
We store an encrypted access token (or, where applicable, encrypted credentials) for the connected account so the integration can keep your properties current. You can disconnect a connected PMS at any time, after which we revoke the access token and stop importing data.
When you purchase a subscription or report, payment is processed by our third-party payment processor. We receive limited billing details (such as your billing email, plan, and transaction status) but do not store full payment card numbers or sensitive financial information.
We collect your email and, if you opt in, your phone number to send compliance alerts, license and tax reminders, weekly digests, and service updates, along with your notification preferences.
When you use our free address preview tool, we may store the address searched, the compliance results shown, and associated parcel data. This helps us improve the Service and may be used to follow up if you later create an account.
We collect information about how you interact with the Service, including pages visited, features used, device and browser type, IP address, and general system activity, through cookies, local storage, and similar technologies.

We implement reasonable technical and organizational safeguards designed to protect personal information from unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
We retain personal information for as long as your account is active or as needed to provide the Service, and thereafter as necessary to comply with legal obligations, resolve disputes, and enforce our agreements. We may retain aggregated or de-identified data indefinitely.
Depending on your location, you may have the right to access, correct, update, port, or delete personal information we hold about you, and to object to or restrict certain processing. HostReady operates from the United States and is focused on U.S. short-term-rental compliance. If you are located in the European Economic Area, the United Kingdom, or Switzerland and the EU or UK General Data Protection Regulation applies to your use of the Service, you have the following rights with respect to your personal data: access, rectification, erasure, restriction of processing, data portability, and objection to processing. Where we rely on consent, you may withdraw it at any time.
We process personal data on the legal bases of performing our contract with you, pursuing our legitimate interests in operating and securing the Service, and complying with our legal obligations. Because the Service is hosted in the United States, your personal data will be transferred to and processed in the United States. The Service is not intended for individuals under the age of 18, and we do not knowingly collect personal information from minors. If you believe a minor has provided us information, contact us and we will delete it.
The Service is operated from the United States. If you access the Service from outside the United States, you understand that your information will be processed in the United States, where data-protection laws may differ from those in your jurisdiction.
We may update this Privacy Policy from time to time. Material changes will be reflected by the “Last Updated” date above, and your continued use of the Service after an update indicates acceptance of the revised policy.
